The association's public presence & shared records
- Public association website
- Notices, meetings, forms
- Owner Records (governance documents)
- Owner access management
A professional website, organized documents, and secure owner access for condominium associations, HOAs, cooperatives and property management companies nationwide.
What It Does
A public association website, protected Owner Records, and administrator control — together in one place.
Your association gets its own branded public site — notices, meetings, forms, and contact information, professionally presented.
Governing documents, minutes, budgets, and other records your association chooses to publish, organized and accessible in one place.
MyRecordSite gives your association its own branded public website — notices, meeting information, forms, association information, and contact details, presented cleanly and easy to keep current. Owners and prospective owners find what they need without digging through email threads or outdated PDFs.
Owner Records is a protected, authenticated area of the association's website where authorized owners can access governance and association records — separate from the public site and separate from any individual owner's financial information. Access is controlled by the association's Board or property manager, using an association access code or an access request that the Board or manager reviews and approves, as the association chooses. The association is responsible for choosing an access method that meets the requirements that apply to it.
Owner Records does not include individual owner financial information such as ledgers, balances, or payment history.
Authorized association administrators — Board members or the property manager — manage the association's website content and decide who is eligible for Owner Access under the association's governing documents and applicable law. MyRecordSite provides the software and technical support; the association's leadership is responsible for what is published and who is granted access.
If your association changes management companies, your association's website and records stay with the association, subject to the subscription and data-retention terms. The outgoing manager's access can be removed and a newly authorized manager or Board can be set up, subject to confirming who is authorized to act for the association. The account and records are not transferred to or deleted because of the management change, and service continues as long as the subscription remains in good standing. MyRecordSite is not a reason to stay with, or avoid, any particular management company.
MyRecordSite is deliberately separate from your property management portal, such as AppFolio. Individual owner ledgers, balances, charges, payments, and payment history continue to live in that external system, managed by your property manager.
MyRecordSite handles your association's shared public presence and governance records — not individual financial accounts.
Who It’s For

Florida Requirements
MyRecordSite serves associations and management companies nationwide. Website and records requirements vary by state, and the Florida requirements summarized below apply only to Florida associations.
Florida condominium associations with 25 or more units, other than those with timeshare units, are required to post digital copies of specified official records on a website or make them available through a mobile application under §718.111(12)(g), Florida Statutes, effective January 1, 2026. A separate, earlier requirement applies to homeowners' associations with 100 or more parcels, under §720.303(4)(b), Florida Statutes (effective January 1, 2025). Florida law does not currently impose an equivalent website requirement on cooperative associations.
For condominium associations, §718.111(12)(g), Florida Statutes, expressly allows the required website, application, or web portal to be operated by a third-party provider. For homeowners’ associations, §720.303(4)(b) requires the association’s website or application and does not address who operates it. In either case, the association remains responsible for the records it posts. MyRecordSite is designed to help associations provide a protected, owner-only area for these records.
